Terms & Conditions for HSICON 2027
These Terms and Conditions ("Terms") govern your participation in HSICON 2027 and use of the conference website. By registering for or attending the conference, you accept and agree to be bound by these Terms.
1. Registration and Eligibility
- All registrants must provide accurate and complete information during the registration process
- You are responsible for maintaining the confidentiality of your login credentials
- One registration per person is required; registrations are not transferable to other individuals
- The Hernia Society of India reserves the right to verify registration information
- False or misleading information may result in cancellation of registration without refund
2. Registration Fees and Payment
- All fees are in Indian Rupees (₹) or US Dollars (USD) as applicable
- Fees are exclusive of 18% GST, which will be added to your invoice
- Payment must be completed to confirm your registration
- We accept payment through secure online gateways only
- Payment confirmation will be sent via email within 24 hours of successful transaction
- Invoices will be provided for tax and reimbursement purposes
3. Cancellation and Refund
Please refer to our Refund Policy for detailed cancellation and refund information.
- Cancellation till June 30, 2027: 25% Cancellation Charges
- Cancellation till September 1, 2027: 50% Cancellation Charges
- Cancellation after September 1, 2027: No refund
- Refunds will be processed within 90 days after the conference
- Registrations are NOT transferable
4. Conference Attendance
- Registration confirmation and attendance badge will be provided on-site
- Valid ID proof may be required for entry to the conference venue
- Attendees must wear their conference badges throughout the event
- The conference organizers reserve the right to deny entry or remove any individual
- Participation in sessions is subject to space availability
5. Code of Conduct
All participants agree to adhere to the following code of conduct:
- Treat all fellow participants, speakers, and staff with respect and professionalism
- Refrain from any form of harassment, discrimination, or offensive behavior
- Do not engage in disruptive activities during sessions
- Respect intellectual property and confidentiality of presented research
- Do not record, photograph, or video sessions without explicit permission
- Follow all venue rules and security protocols
- Violations may result in removal from the conference without refund
6. Intellectual Property and Photography
- All conference materials, presentations, and research are intellectual property of the authors
- Attendees may not reproduce, distribute, or publish conference materials without permission
- Photography and video recording of sessions is prohibited unless authorized by the organizers
- The conference may capture images and videos for promotional purposes; attendees consent by participating
- Abstract publications are subject to copyright terms as outlined in the conference documentation
7. Health and Safety
- Attendees participate at their own risk
- The Hernia Society of India is not responsible for personal injuries, lost items, or theft
- We recommend obtaining travel and medical insurance
- First aid and basic medical support will be available at the venue
- Attendees with health conditions should carry necessary medications and medical documentation
- In case of emergency, organizers will cooperate with medical and emergency services
8. Accommodation and Travel
- Accommodation is not included in registration fees (available as optional add-on)
- Partner hotels will be listed on the conference website
- Direct booking with hotels is recommended for best rates
- Conference organizers are not responsible for any issues with hotel bookings or accommodations
- Travel arrangements are the responsibility of individual participants
9. Limitation of Liability
The Hernia Society of India, its organizers, speakers, and sponsors shall not be liable for:
- Any direct, indirect, incidental, or consequential damages
- Loss of profits, business, or opportunity
- Cancellation or postponement of the conference due to unforeseen circumstances
- Changes in program, schedule, or speakers
- Travel, accommodation, or related issues
- Actions or inactions of third-party vendors or service providers
10. Force Majeure
In the event of force majeure (natural disasters, pandemics, wars, or other unforeseen events), the organizers may postpone or cancel the conference. In such cases, registered participants will be offered:
- Full refund of registration fees, OR
- Transfer of registration to the rescheduled date
11. Website Disclaimer
- The conference website content is provided "as-is" without warranties
- The organizers reserve the right to update website content without notice
- Links to external websites do not imply endorsement
- The organizers are not responsible for third-party website content
12. Communication and Notices
Important conference updates, changes, and communications will be sent via:
- Email to your registered email address
- Announcements on the conference website
- SMS (if you opted in for SMS communications)
It is your responsibility to check your email and the website regularly for updates. Changes sent via email are considered delivered once sent.
13. Privacy and Data Protection
Your personal information will be handled in accordance with our Privacy Policy. By registering, you consent to the collection and use of your information as described in the policy.
14. Dispute Resolution
- Any disputes arising from these Terms will be governed by Indian law
- Both parties agree to attempt amicable resolution before legal action
- Disputes will be resolved through arbitration or courts in Coimbatore, Tamil Nadu
15. Changes to Terms
The Hernia Society of India reserves the right to modify these Terms at any time. Changes will be posted on the website and are effective immediately. Your continued participation constitutes acceptance of modified Terms.
